Information for Landlords
Pre Tenancy
Upon commencement of our Agreement, we will conduct a thorough inspection of your rental property and prepare a detailed Condition Report of the property and surrounding gardens.
Occupancy
The letting of your property is vitally important to us.
In the event a tenant vacates your property, we undertake to provide you with a weekly update outlining the action we are taking to let your property.
Our Property Management Department works diligently to ensure that all properties are properly tenanted.
Tenancy Application
Ideal Real Estate is a practising member of the Tenancy Information Centre of Australia and New Zealand. TICA is a national database of delinquent tenants and has total coverage of Australia & New Zealand. There is now in excess of 4000 rental agencies contributing to this database. Each agency registers every bad tenant encountered on the TICA database. This service is exclusively available through rental agencies and private landlords cannot participate.
Each prospective tenant is checked with TICA before proceeding with any application. On average we find one in ten already have a TICA record and every defaulting tenant we encounter is immediately registered.
We thoroughly process all applications that we receive from prospective tenants. We ask for 100 points of identification, check all the tenants past rental references, confirm their employment and phone referees.
Upon suitable application, we will immediately notify you to confirm that you are in agreement with the arrangements. When you accept the application we take a minimum two weeks rent and have the new tenants sign the lease agreement before your property is removed from our pool of available properties.
Before approving any applicant, we will attempt to contact you for final approval.
At the commencement of the tenancy, before any keys are handed over, a bond is collected at the equivalent of four weeks rent.
Rental Bond
The maximum amount of Rental Bond allowable is an amount equal to 4 weeks rental. This amount MUST be lodged with the Residential Tenancies Authority of Queensland. Under management terms, it is the responsibility of the Agent to lodge the bond with the RTA.
At the completion of the tenancy the bond is not released until we are completely satisfied with the condition of your property.
Rent and Arrears Control
As a start to our arrears control system our staff check the arrears status daily. Each tenant on the report is telephoned and asked to pay their rent. We have found this approach has met with outstanding success. The tenants are also informed that a Notice to Remedy Breach will be sent to them in regards to their rental arrears.
We insist that all our tenants pay their rent by direct debit from THEIR bank account or direct DEPOSIT to our bank account. This makes it easier for the tenant to pay their rent and eliminates the risk of having cash in the office.
Entry/Exit Condition Reports
Before a tenant moves into the property, a detailed condition report is completed so that we know what condition your property is in. When a tenant vacates the property a detailed exit condition report is completed, along with making sure the tenant brings your property back up to its original condition before any bond is refunded (only taking into account fair wear and tear).
Routine Inspections
Inspections form a major part in caring for your property. Ideal Real Estate Burpengary ensure that all inspections are carried out on a regular basis as those performed when tenancies commence and end.
During the course of the inspection we take the opportunity to photograph the property if required and these photos along with a detailed inspection report can then be forwarded to the landlord. Every three months we inspect the inside and outside of your property bringing to your attention any minor repairs and maintenance.
Our comprehensive maintenance program will ensure that problems are resolved quickly be qualified trades persons at a reasonable rate.
Maintenance/Quotations
We can organise all your maintenance and quotations so that all you have to worry about is receiving a phone call or email from us to advise you of the problem. You have the option of being kept involved at all times.
Renewing Tenancy Agreement
Most of our tenants are on fixed term tenancy agreements (ie) either 6 month or 12 month leases. Each time a lease comes up for renewal, you are sent a written notification 4-6 weeks in advance asking for your instructions in regards to the conditions of the renewal. Rent reviews are done at this stage.
Payment of Invoices from Rental Account
We can pay all your rental invoices through our Trust Account System. This includes all the maintenance invoices, rates, body corporate fees and landlord insurance. The original invoice is kept on file and will be attached to your End of Financial Year Statement to be supplied to your Accountant.
Frequency of Payments to Landlords
You have the option of being paid twice-monthly or at the end of each month. A tax invoice can be mailed or emailed to you at the end of each month showing the details of the payment. Note: The frequency of the tenants rent payments will effect payments.
Yearly Statements
At the end of June each year, we send out a financial year statement showing the past years’ income and expenditure for your tax purposes. All original invoices for accounts paid during the year will be attached to this statement.
Paperwork Associated with Property Management
From processing the application through to when the tenant vacates the property, we take care of all the paperwork involved in managing your property.
Property Management Agreement
As part of our service to you, we supply (completed) a REIQ Residential Property Management Agreement for your authorisation.
Landlord Insurance
This insurance is different from your building insurance and is specifically set up to insure landlords against losses occurred by the tenant.
Advertising
We advertise through most mediums to get your property out to prospective tenants to find a suitable tenant as soon as possible. Advertising on the internet, on the rental list, in the window and a sign in front of your property are all part of our service to you and is included in the let fee that you pay to us. At our discretion we have the option of advertising in the local newspaper each week should it be required.
Small Claims Tribunal
On rare occasions, unfortunately we do have to forcibly evict tenants from rental properties due to rental arrears. If this does happen to you, we keep you informed every step of the way from attending the hearing on your behalf, through to meeting the police at the property to execute the warrant of possession. We then organise tradespeople (including cleaners, mowers, repairmen, etc) to do what is necessary to bring your property back to its original condition ready for a new tenant. Also, if you have landlord insurance, we do all of your insurance claims on your behalf.
Communciation
We believe that even though we are managing the property on your behalf, it is important for us to keep you constantly informed on any developments on your property. From approval for maintenance, through to weekly contact when your property is vacant, you can be assured that your are always kept “in the loop”!
